Los Feliz Film Fest (“LFFF”) operates with limited resources, and all purchases and submissions help support the festival’s mission. For this reason, all fees are generally non-refundable.

Film Submissions

All submission fees are final and non-refundable, including but not limited to:

• Early Bird submissions

• Regular submissions

• Late submissions

• Withdrawn submissions

• Disqualified submissions

This applies regardless of the jury selection outcome.

Tickets & Event Registrations

Tickets, passes, and event registrations are non-refundable, unless an event is fully canceled by LFFF.

If an event is rescheduled, your ticket will automatically transfer to the new date.

Donations

All donations are final and non-refundable.

Merchandise

We accept returns only for defective items, within 14 days of delivery.

Customer pays return shipping unless the defect is LFFF’s fault.

3. VOLUNTEER WAIVER & RELEASE

By volunteering for the Los Feliz Film Fest, you agree to the following:

1. Voluntary Participation

I acknowledge that I am volunteering freely and without compensation, and I am not an employee of LFFF.

2. Assumption of Risk

Volunteering may involve:

• Lifting, carrying, or moving items

• Working outdoors

• Interacting with crowds

• Exposure to loud sounds

• Walking or standing for extended periods

I voluntarily assume all risks of participation.

3. Release of Liability

I release LFFF, its staff, and partners from any liability related to injury, illness, or property damage arising from volunteer activities, except where prohibited by law.

4. Medical Treatment

I authorize LFFF to obtain medical care in case of emergency.

I am responsible for any costs incurred.

5. Media Release

I allow LFFF to use photos or videos of me taken while volunteering for promotional purposes.

6. Code of Conduct

I agree to:

• Treat attendees and staff respectfully

• Follow all instructions from LFFF coordinators

• Not consume alcohol or drugs while volunteering

4. EVENT LIABILITY WAIVER (For Attendees, Guests, Filmmakers, Industry)

By attending any Los Feliz Film Fest event, screening, party, or activity, you agree to this waiver.

5. PHOTO & VIDEO RELEASE NOTICE

1. Photography & Video Recording

LFFF may photograph or film attendees, volunteers, and participants during events.

2. Use of Images

LFFF may use these images for:

• Press releases

• Festival recap videos

• Future advertising

No compensation is provided for the use of recorded material.

3. Opt-Out Option

If you do not wish to be photographed or filmed:

• Please notify a staff member upon arrival, and

• Avoid areas where photography is taking place.

We will make reasonable efforts to respect your request.

6. VENDOR AGREEMENT POLICY

(For booths, food vendors, merch vendors, local businesses)

By participating as a vendor at the Los Feliz Film Fest (“LFFF”), you agree to the following conditions:

1. Fees & Payment

Vendor fees must be paid in full before the event.

Fees are non-refundable unless the event is fully canceled by LFFF.

2. Permits & Compliance

Vendors are responsible for obtaining and displaying any required:

• City permits

• Health permits (for food vendors)

• Seller’s permits

• Insurance coverage (if required by the venue)

Vendors must comply with all local, state, and federal regulations.

3. Setup & Operation

Vendors agree to:

• Arrive during assigned load-in time

• Staff their booth for the entire event

• Keep their area clean and safe

• Follow all instructions from festival staff and venue officials

LFFF may reassign booth locations as needed.

4. Products & Conduct

Vendors must not sell:

• Illegal products

• Offensive or discriminatory materials

• Weapons or hazardous substances

Vendors must treat attendees and staff with respect.

5. Liability

Vendors are responsible for their own equipment, merchandise, and profits.

LFFF is not responsible for theft, loss, or damage.

6. Insurance

Vendors may be required to provide proof of liability insurance depending on venue or product type.

7. Media Release

Vendors consent to photography and video recording of their booth for promotional use.

7. SPONSORSHIP AGREEMENT TERMS

These terms apply to all sponsors of the Los Feliz Film Fest (“LFFF”).

1. Sponsorship Rights

Sponsors may receive benefits such as:

• Logo placement

• On-site signage

• Social media mentions

• Website listing

• VIP access

• Speaking opportunities (if agreed in writing)

Exact benefits are described in the sponsor’s customized package.

2. Payment

Sponsorship payments are due upon signing the agreement.

Payments are non-refundable.

3. Use of Sponsor Logo

The sponsor grants LFFF a license to use their logo and name for promotional purposes.

Likewise, sponsors must request permission before using LFFF’s logo.

4. Content Restrictions

LFFF reserves the right to reject any sponsored content that:

• Is political

• Is discriminatory

• Conflicts with festival values

• Violates venue policies or laws

5. No Exclusivity

Unless explicitly written into the agreement, sponsorships are non-exclusive.

6. Liability

LFFF is not responsible for:

• Business outcomes, sales, or ROI

• Technical issues affecting visibility

• Unforeseen changes to event schedule or programming

8. EXHIBITOR SETUP INSTRUCTIONS

(For artists, installations, VR stations, gallery-style exhibitors)

1. Load-In

Exhibitors must:

• Arrive during their designated load-in window

• Check in with the LFFF staff

• Bring all necessary tools and extension cords

• Follow venue safety rules

Late arrivals may lose their reserved space.

2. Display Requirements

Exhibitors must ensure that:

• Installations are stable and safe

• No walls or surfaces are damaged

• All cables are taped and secured

• They comply with fire and electrical codes

3. Power & Equipment

Limited power outlets are available.

Bring your own:

• Extension cords

• Power strips

• Audio/visual equipment

• Backup batteries

4. Conduct

Exhibitors must treat staff and attendees with respect and follow all instructions.

5. Load-Out

Tear-down must occur during assigned times.

Exhibitors must leave the space clean.

6. Liability

LFFF is not responsible for:

10. CODE OF CONDUCT FOR ATTENDEES

Harassment or discrimination of any kind is not tolerated.

2. Follow Instructions

Follow all posted rules and staff instructions, including seating, safety, and photography guidelines.

3. No Disruptive Behavior

This includes:

• Excessive noise

• Interfering with screenings

• Intoxicated behavior

• Aggressive conduct

4. No Unauthorized Recording

Recording films, panels, or performances without permission is strictly prohibited.

5. Consequences

Violations may result in:

• Removal from the event

• Revocation of passes

• Denial of entry to future events

• Reporting to authorities (if necessary)

11. ANTI-HARASSMENT POLICY

• Verbal abuse

• Physical intimidation

• Unwanted physical contact

LFFF prohibits retaliation against any person who makes a report.
